Give every file a controlled identity
Use a drawing number, revision and issue date. Identify the controlling drawing and the supporting model, and explain any difference between them. For several parts, add an assembly reference and bill of materials. An unlabelled CAD model may describe geometry while leaving tolerances and treatment unspecified.
Make the gear system unambiguous
Include tooth count, module or diametral pitch, pressure angle, face width and any profile-shift or modification requirements. For a helical gear, state helix angle and hand and identify the normal or transverse system. For internal gears, provide the mating external gear reference when assembly compatibility is part of the review.
Define how the part is located
Identify the datum axis and locating faces. Include the bore, journals, shoulders, splines, keyways and bolt patterns that connect the gear to the machine. Tooth geometry and mounting geometry should not be treated as separate specifications when their relationship is controlled by runout or another acceptance limit.
Describe the final material condition
State the grade or material standard and the required treatment. Where relevant, define hardness zones, effective case depth and surface condition. If an area must remain machinable or untreated, show it explicitly. Make clear whether a supplied blank is soft, treated or ready for a particular finishing operation.
Connect tolerances to the inspection method
Use the specified accuracy standard and edition where required. Identify the tooth characteristics to report and the datum arrangement for dimensional checks. If a value is measured over pins, by span or through a mating check, provide the measurement definition. Different methods can answer different questions.
Include the assembly information that matters
For a gear shaft, send the complete shaft drawing. For a planetary set, send the sun, planet, ring and carrier references. Include fit, pairing, marking and assembly-level checks where these are part of the supply scope. Avoid sending unrelated full-machine data when a focused interface reference is sufficient.
